Embodied Labs Data & Privacy Policy for CalGrows

Embodied Labs does not sell or rent or otherwise disclose personal information collected by our platform to third parties in the ordinary course of business.

For trainees who wish to leverage the CalGrows innovation grant funded opportunity, we are required to collect certain information. In addition, we collect usage information for internal business processes, and allow our trainers and training partners to setup surveys for research and efficacy. The collection and usage are described below.

1. CalGrows Data Requirements (Optional and Mandatory)
   1. CalGrows requires that all trainees provide specific information for purposes such as eligibility verification, auditing, incentive deployment, and research. These include mandatory data (e.g., name, email, phone number, eligibility conformance) and optional information (e.g., demographic data, broader surveys).
   2. All trainees will be requested to present this information prior to access for the training program. This data may be collected directly by Embodied Labs (via the platform) or a Training Partner (e.g., for in-person group training sessions).
   3. This personal and confidential information will only be shared with CalGrows, pursuant to this CalGrows Innovation Fund Grant Agreement #: CG-2223-24, and in conformance with any applicable laws.
      
      
2. Embodied Labs Standard Platform Data
   1. As part of the standard operating processes the Embodied Labs platform captures and stores the following types of usage data: 
      1. Access data, e.g., who (an identifier such as an email address) and when (date and time). 
      2. Training data, e.g., which training courses, and for how long. 
      3. Data for product improvement (only), e.g., access platforms, errors, anonymized usage. 
   2. Authenticated administrators will have access to the above information, e.g., for training audits, platform troubleshooting, etc.
      
      
3. Embodied Labs or Training Partner survey information (Optional) 
   1. As part of our standard functionality, Embodied Labs platform allows for assessment surveys (e.g., prior-to, or after experiences) to be set up by trainers, e.g., for efficacy research. Only authenticated administrators will have access to this data.
   2. If this data is used for research by external partner entities (e.g., research partner), only de-identified information will be used, and no personally identifiable information will be shared with external entities.
   3. All data will be collected and handled in accordance with applicable laws.
